How we handle your information
Last updated [DATE]
Human Converter turns a resume or job description into an AI employee you can meet, share and hire. This page explains what we do with the files and details you give us, what we keep, and who helps us run the site.
Who we are and how to reach us
Human Converter is run by [BUSINESS NAME], [ABN/COMPANY NUMBER], of [BUSINESS ADDRESS]. In this policy, "we" and "us" means that business.
If you have a question about your information, or want us to change or delete it, email [CONTACT EMAIL].
This policy covers humanconverter.com, including our articles at humanconverter.com/articles, the offer summary links the site creates, and the emails our AI employees send from [SENDING DOMAIN, e.g. hire.humanconverter.com].
What happens to a resume or job description you upload
- We read the file to build your AI employee: their role, skills, the tools they can use, the deliverables they would take on each week and a salary estimate for the role.
- Before the text leaves our server, we strip out email addresses, phone numbers, web addresses and street addresses.
- The file is read in memory or in a temporary folder and deleted straight away, as soon as its text has been read. We never store the resume, the file or its full text.
- The only personal detail we keep is the first name, which becomes your AI employee's name (Bob's resume becomes BobAI). We never show a surname or contact details anywhere on the site.
- We keep a one-way fingerprint of the file (a hash), so the same file uploaded again within a day returns the same result instead of being converted twice. The fingerprint can't be turned back into the file.
- Your AI employee's face is a photo from our own set of faces, which we pick to suit their first name. [WHERE THE FACE PHOTOS COME FROM, e.g. AI-generated, or licensed with the person's consent] We never use a photo from a resume.
If you upload a resume that belongs to someone else, please make sure they're happy for you to do that.
The drop zone at the end of each article, and the one on an offer summary page, work the same way as the one on the home page.
What we store and for how long
- Your AI employee's profile. The first name, role, skills, tools, weekly deliverables, introduction script and salary estimate, with the face we picked and the currency you chose. [HOW LONG PROFILES ARE KEPT]
- The introduction we record. Your AI employee introduces themselves in a generated voice over their photo. We keep that audio, its captions and a video file of the introduction made from the photo, the audio and the captions. A still from that video is the preview picture for their offer summary link. Their offer summary link works for 30 days, and after that our daily clean-up deletes those files. Anyone with the link can open the offer summary, and we ask search engines not to list it.
- What you enter in our forms. If you ask to hire your AI employee or ask for their first-week plan, we keep your name, work email and company, your phone number if you give it, and the role you converted. We also keep the salary and monthly price you saw, the consent line you agreed to and when, and any campaign tags in the link you arrived from. [HOW LONG LEAD DETAILS ARE KEPT]
- Emails. The emails your AI employee sends you, and any replies you send back.
- Hashed IP addresses. We turn your IP address into a salted, one-way hash and use it to limit how many conversions and forms come from one place. We never store the address itself.
- Simple usage counts. Records such as "a sample role was clicked" or "an introduction was played", linked to the AI employee but not to your name or email.
- Which headline you saw. If you've visited our home page, we note whether you were shown headline A or headline B (see the headline test cookie below) alongside the AI employees you convert, the forms you send and the usage counts, so we can tell which headline works better.
We store this information on servers in [SERVER LOCATION], protected by [SECURITY MEASURES].
Emails from your AI employee
If you fill in the hire form or ask for the first-week plan, your AI employee emails you themselves, from their own address on [SENDING DOMAIN]. They send at most three emails: one within a few minutes, a check-in two days later and a last note five days after that. They stop as soon as you book a call, reply or unsubscribe.
- We only email the address you entered, and only because you asked us to.
- Every email has a one-click unsubscribe link and names Human Converter as the sender, with our business address.
- Your replies come to the Human Converter team, who read them and answer you personally.
- We never email anyone else you mention. "Send to my business partner" opens your own email app, and you choose whether to send it.
How we keep the demo from being abused
We use Cloudflare Turnstile to check that uploads come from a person and not an automated script. Turnstile looks at information about your browser and device to do this, and Cloudflare handles it under its own privacy policy: [LINK TO CLOUDFLARE'S PRIVACY POLICY]. Along with the hashed IP limits above, this keeps the cost of the demo under control.
Cookies, the headline test and ad tracking
The cookie we use to test our headline
We're testing two headlines on the home page to see which one explains Human Converter better. The first time you open the home page, we set one small cookie of our own, called hc_v. It records which of the two headlines you were shown (it holds just the letter A or B), so you see the same one each time you come back, and it's kept for 180 days.
We use it only to count how many visitors, conversions and forms each headline leads to. It doesn't identify you, it isn't used for advertising and we don't share it with anyone. It's set whether or not you accept the cookie banner. [CONFIRM THIS IS ALLOWED WITHOUT CONSENT UNDER THE PRIVACY LAWS THAT APPLY TO YOUR VISITORS, OR ASK FOR CONSENT FIRST]
What your browser keeps for us
Your browser remembers your cookie banner choice (see below). Until you close the tab, it also keeps the currency you picked and any campaign tags in the link you arrived from, which are sent with a form if you fill one in.
Ad tracking, only if you accept it
When you first visit, a cookie banner asks whether you're happy for us to use advertising and analytics cookies. Until you accept, none of the tracking pixels below load.
If you accept, we load:
- Meta Pixel, for our Facebook and Instagram ads.
- Google tag, for Google Analytics and Google Ads.
- LinkedIn Insight Tag, for our LinkedIn ads.
These set their own cookies and let Meta, Google and LinkedIn know when you view your AI employee, send one of our forms or book a call, so we can see which ads work. Each company handles that information under its own privacy policy: [LINKS TO META, GOOGLE AND LINKEDIN PRIVACY POLICIES].
If you decline, none of them load. We remember your choice in your browser so we don't ask again. To change your mind later, [HOW TO CHANGE YOUR COOKIE CHOICE, e.g. clear this site's data in your browser].
The services we use to run the site
- Anthropic (the Claude API) reads the resume text, after contact details have been removed, to write your AI employee's profile, and writes the drafts of the emails your AI employee sends and the notes from a call you book with us. [NOTE ON ANTHROPIC'S DATA RETENTION AND TRAINING TERMS]
- Our voice and video providers, [e.g. ElevenLabs, and a video provider if we use one], make your AI employee's introduction. Today the introduction is a photo of your AI employee's face with a generated voice, so the voice provider receives the introduction script, which has your AI employee's name and role in it. If we use video, a video provider receives the face's photo and the recorded voice. None of them receive your resume.
- SendGrid sends your AI employee's emails and our notifications, and passes your replies back to us.
- Cloudflare runs Turnstile [and our network protection, if used].
- Calendly handles your booking if you book a call with us. After you ask to hire your AI employee, the booking page shows on our site with your name and email already filled in, so Calendly receives them when it loads, under its own privacy policy: [LINK TO CALENDLY'S PRIVACY POLICY].
- Recall.ai runs the meeting bot that brings your AI employee to the call you book with us. Your AI employee joins under their own name, says they're an AI taking notes, and you or our team can remove them at any time. Recall.ai records the call's audio to make a transcript, keeps it for 7 days and then deletes it. We keep only the notes written from it, which are sent to our team. Recall.ai states that it doesn't use customer data to train AI models, and neither the transcript nor the notes are ever used for training. [LINK TO RECALL.AI'S PRIVACY POLICY]
- Stripe takes your payments if you hire an AI employee: the onboarding fee on Stripe's own payment page, and the monthly fee after that. Stripe receives your name, email, card and billing details and keeps your card on file for the monthly fee. We never see or store your full card number. You can change your card, see your invoices or fire your AI employee through the billing link we email you. Stripe handles this under its own privacy policy: [LINK TO STRIPE'S PRIVACY POLICY].
- [HOSTING PROVIDER] hosts the site and its database.
Some of these companies are based outside [COUNTRY], so your information may be handled overseas. [OVERSEAS DISCLOSURE WORDING]
Your choices and your rights
- You can unsubscribe from your AI employee's emails at any time with the link in any email.
- You can ask us for a copy of the information we hold about you, or ask us to correct or delete it, by emailing [CONTACT EMAIL].
- If you're not happy with how we've handled your information, tell us first and we'll try to put it right. You can also complain to [PRIVACY REGULATOR WHERE THE BUSINESS IS BASED, AND FOR VISITORS ELSEWHERE].
Changes to this policy
If we change how we handle your information, we'll update this page and the date at the top. [HOW YOU WILL TELL PEOPLE ABOUT BIG CHANGES]
